Awards

At a glance

The Awards module keeps a record of award nominations and wins for your team. You maintain an awards catalogue in settings (the types of awards your team is eligible for), then record individual nominations and wins against those catalogue entries - with logistics details like venue, hotel, and travel if the award involves a ceremony.

  • Who can use it: managers always; supervisors when the setting permits. Employees can view their own awards.
  • Where: Sidebar → Awards.
  • Default: off. Enable it at Settings → Modules.

How to use it

Record a nomination or win

  1. Go to Sidebar → Awards.
  2. Click Add award.
  3. Select the award from the catalogue and the employee receiving it.
  4. Set the date and the outcome: Nominated or Won.
  5. Optionally add the ceremony venue, logistics details (hotel and transportation), and associated costs.
  6. Add any notes - these are encrypted and private to managers and supervisors.
  7. Click Save.

Each award record gets a reference number (AWD-DDMMMYY-NNNN) you can use to find it later.

The awards catalogue

The catalogue lives in Settings → Awards → Award records. Each entry defines a type of award - its name, the governing body, a description, and an optional link to the award program’s website.

Catalogue entries are reusable. If your team gets nominated for the same industry award each year, it’s one catalogue entry and multiple employee award records against it.

You can archive catalogue entries you no longer need. Archived awards stop appearing when recording new awards, but existing records that used them are unchanged.

FAQ

Can an employee see their own awards?

Yes. Employees can view their own award records, including the outcome, date, and ceremony details. They can’t see the notes field, which is visible to managers and supervisors only.

Can I record an award that isn’t in the catalogue yet?

You’ll need to add it to the catalogue first. Go to Settings → Awards → Award records, create the catalogue entry, and then come back to record the employee award.

Can I track the cost of attending a ceremony?

Yes. The award record includes fields for ceremony cost, hotel cost, and transportation cost. These are optional - fill in what’s relevant.

What’s the difference between Nominated and Won?

It’s a record of the outcome. Nominated means the employee was put forward for the award. Won means they received it. Both are worth recording - nominations are recognition too, and a history of nominations can be meaningful context in a performance review or similar.
